How to Choose the Right AI Tool for Every Task

The first mistake most people make with AI is using one tool for everything. Different tasks want different models — and often, they don’t want a raw model at all; they want a guided workflow.

Here’s a simple framework we use internally at iBuild Studio HQ.

Step 1: Is the task open-ended or well-defined?

If the task is well-defined (“rewrite this paragraph in a friendly tone”), a fast model like Gemini 2.5 Flash is ideal. It’s cheap, quick, and quality is more than enough.

If the task is open-ended (“help me plan a launch strategy”), you want a reasoning model like GPT-5. Slower and more expensive, but it thinks harder before answering.

Step 2: Is the task one-shot or multi-step?

Single-shot tasks (summarize, translate, count) are fine with one prompt.

Multi-step tasks — like building a resume, writing a business plan, or planning a marketing campaign — benefit from a workflow. Workflows split the task into checkpoints, save your inputs, and let you review each stage.

Step 3: Do you need the same result twice?

If you’ll do the task again next week (e.g., writing weekly LinkedIn posts), a template or repeatable workflow beats a fresh prompt every time. Set it up once; run it forever.

Step 4: Does it involve editing existing writing?

Editing and rewriting is where models like Claude Sonnet 4.5 shine. If you’re polishing tone, tightening prose, or converting technical writing into plain English, an editing-focused model gives noticeably better output.

Step 5: Is accuracy or creativity the priority?

Accuracy tasks (research summaries, code review) reward slower reasoning models. Creativity tasks (brainstorming, headlines) tolerate faster models — you’ll just generate more options and pick the good ones.

Start small. If a fast model gets the job done, stop there. Only reach for a bigger model or a full workflow when you actually need it. That’s how you keep AI cheap, fast, and useful — instead of turning every request into a slow, expensive one.
